Privacy policy

We collect as little data as possible and only use it to make your ride go smoothly. Below you can read exactly what we do.

1. Who is responsible?

The data controller is GateRide BV, Nieuwbaan 44A, 1785 Merchtem, België, company number 0454.314.544. You can reach us at hello@gateride.be or +32474700579.

No data protection officer has been appointed; you can contact us directly with any privacy question.

2. Which data do we process?

  • Account data: name, email address, mobile number, language preference and an encrypted password.
  • Trip data: pickup or drop-off address, airport, date and time, number of passengers and luggage, child seats, flight number and landing time, name and mobile number of another passenger, special luggage and notes.
  • Optional: company name and VAT number for your receipt.
  • Technical data: IP address and browser details when you sign in and for important actions, for security.

Please don’t share medical or other sensitive information in notes.

3. What for and on what basis?

  • Planning, confirming and carrying out your ride, and sending you emails about it — necessary to perform the contract (Art. 6(1)(b) GDPR).
  • Managing your account so you can keep track of your trips — performance of the contract.
  • Accounting and receipts — legal obligation (Art. 6(1)(c) GDPR).
  • Security and abuse prevention (e.g. limiting sign-in attempts) — legitimate interest (Art. 6(1)(f) GDPR).

We don’t send advertising and never sell your data.

4. Who do we share your data with?

We work with a small number of processors who only process your data on our behalf, with appropriate contractual safeguards:

  • Vercel (website hosting)
  • Neon (database, hosted in the EU, Frankfurt)
  • Resend (sending emails)

Some of these companies are based in the United States. Transfers then take place on the basis of the EU-US Data Privacy Framework or the European Commission’s standard contractual clauses. We don’t pass your data to other third parties unless the law requires us to.

5. How long do we keep your data?

  • Trip data: as long as needed for the ride and its follow-up; data we must keep for accounting is kept as long as the law requires.
  • IP addresses and browser details in security logs: at most 30 days.
  • Content of sent emails: at most 30 days after sending.
  • Accounts that were never confirmed and have no trips: 7 days.
  • Expired sessions and codes: deleted daily.

6. Your rights

You have the right to access, rectification, erasure, restriction of processing, data portability and the right to object to processing based on legitimate interest.

Send your request to hello@gateride.be. We may ask you to confirm your identity and will reply within one month. You can update your name, mobile number and language yourself in your account.

7. Filing a complaint

Not happy with how we handle your data? Please tell us first. You also always have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / APD), Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.

8. Cookies

We only use strictly necessary cookies:

  • a session cookie to keep you signed in;
  • your theme preference (light/dark) and dismissing the language suggestion are stored locally in your browser.

The website language follows from the address (e.g. /fr or /en); no cookie is needed for that. We use no analytics, advertising or tracking cookies. While booking, your unfinished request is kept locally in your browser for up to 24 hours (never your password), so you lose nothing if you confirm your email address in between.

9. Address suggestions & map

  • When you type your street, our own server requests the address suggestions. Your IP address and cookies are therefore not sent to the provider: it only receives the text you typed and the town you chose.
  • Suggestions come from Photon (komoot GmbH, Germany) or Geoapify (Geoapify GmbH, Germany), based on OpenStreetMap data.
  • We don’t keep your search text in log files. Provider answers are cached for at most 30 days under an unreadable key, so the same question is not sent again.
  • The map only loads when you click “Show on map”. Your browser then fetches map tiles from the OpenStreetMap Foundation (United Kingdom), which sees your IP address in the process.
  • When you book, we store your address and — if you used a suggestion or the map pin — the coordinates of your pickup point. You can always type your address yourself.

We only use your address to pick you up. It’s never shared with Google or advertisers.

10. Sources and open data

For postcodes, place names and maps we use open data. With thanks to the following sources:

11. Changes

We may update this privacy policy. The version at the top of this page shows which version applies.
